JOB DESCRIPTION


Summary/Objective

The office manager/accounts receivable position is responsible for overall front office activities, including the mail, large purchasing requests and management of facilities. Also, responsible for directing and coordinating office services and related activities, including developing and supervising outside vendors for the maximum utilization of all AAEP Staff. Responsible for arranging internal office moves and providing arrangements for office meetings. Responsible for invoicing and applying customer payments, processing credit cards and preparing manual deposits.

Essential Functions

Supervises and coordinates overall administrative activities for the AAEP Office to include the following:

Supervises the maintenance and alteration of office areas and equipment, as well as layout, arrangement and housekeeping of office facilities.
Negotiates the purchase of office supplies and furniture, office equipment, etc., for the entire staff in accordance with company purchasing policies and budgetary restrictions.
Supervises the maintenance of office equipment, including copier, fax machine, etc.
Responsible for the facilities day-to-day operations (such as distributing building access keys and back-up to security access cards, etc.)
Participates as needed in special department projects.
Applies customer payments.
Researches and solves payment discrepancies.
Processes credit card payments and credits.
Makes adjustments to accounts as needed.
Prepares daily manual deposits.
Prepares weekly reports for Director of Finance.

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Position Type/Expected Hours of Work

This is a full-time position, and hours of work and days are Monday through Friday, 8:30 a.m. to 5 p.m.

Travel

Position may be required to attend the AAEP Annual Convention.

Required Education and Experience

At least two years of previous experience in office management and Accounts Receivable processing/invoicing.
Working knowledge of mail processes such as postage machine, FedEx and UPS.
Working knowledge of QuickBooks.
